AI Disclosure and Recording Notice on Every Call

Your receptionist identifies itself as a virtual assistant and says the call is recorded at the start of every call. These notices cannot be switched off.

Full details

The greeting gives callers the AI and recording notices before intake begins. You can hear that opening in the browser call demo before forwarding your business number.

For a quote request, your receptionist then gathers details for your agency. For a question about coverage, it takes a message for a licensed agent instead of deciding the answer. Review your intake instructions and greeting during setup so the conversation matches the work you want handled. The virtual assistant and recording notices stay in place.

Call Data Storage, Access and Retention

We use hosting and storage providers to process call records. Your dashboard holds recordings, transcripts and summaries, with recording retention set to 30 or 90 days.

Full details

Call records are available through your dashboard, and each call generates an email and app push alert with its summary, urgency tag, transcript and recording. A daily digest email also helps you review activity.

Recordings follow the retention period your business chooses. Transcripts and summaries remain while your account is open and are deleted within 30 days after it closes or on request. We describe service provider categories and the information they process in our privacy policy. Set intake questions around the details your team needs for its callback.

How AI Providers Use Call Data

AI model providers process voice and text to deliver the receptionist's responses and call records. Our AI model provider, OpenAI, does not train on our API data by default.

Full details

AI processing supports the spoken conversation and the written record your agency receives. This involves voice and text providers, alongside telephone carriers, hosting and storage, and email delivery providers that help deliver the service.

The training statement describes OpenAI's default treatment of our API data. It does not mean that answering a call happens without processing caller information. Your business decides what intake information to collect and why; we process callers' data on its behalf. Keep the questions focused on a message your agency can act on.

Marketing boundaryWe never sell personal information or use callers' data for our own marketing.

Your Retention, Deletion and Data Access Controls

You choose the recording retention period and review call records in your dashboard. Email [email protected] to request access, correction or deletion of personal information.

Full details

Choose a recording retention period that fits your agency's handling of call messages. Recordings are deleted after that period; transcripts and summaries follow the separate account retention schedule described on this page.

For a privacy request, email [email protected] and identify the account or call involved without repeating unnecessary policy details. Callers can ask your business or contact us. You can change receptionist settings by telling the AI what you want in plain words. Review the resulting call instructions before relying on them for intake or urgent routing.

Service Limits and Claims We Do Not Make

We do not claim certifications, audits or HIPAA readiness. Healthcare use involving protected health information is not permitted, and the receptionist does not make coverage decisions.

Full details

The service supports insurance agency intake: quote requests, certificate requests and messages about existing policies. Your receptionist does not quote premiums, bind coverage or tell a caller whether a loss is covered. For urgent claims, its instructions put the carrier's claims line first, followed by a message for your agency.

The AI can make mistakes, so review summaries and maintain a backup way to be reached. It is not an emergency service. Read the service terms for customer responsibilities, then use a fictional agency scenario to assess the conversation yourself.

No certification claimsWe make no claims of security certifications or completed audits.

Healthcare excludedThe service is not offered for healthcare or protected health information.

Agent decisionsYour receptionist gathers messages; a licensed agent handles coverage advice and binding.
